ILL Set-Up Guide for SILC:

A Guide for New FirstSearch Administrators

Introduction

 

SILC provides access to the collections of Illinois libraries through a single, easy to use database, with the ability to scope to a variety of subgroups of Illinois libraries, all Illinois libraries, or the WorldCat database.  SILC is available on FirstSearch, as an additional database option. 

 

SILC includes the following three types of access options:

1.     Guest view – Does not require an authorization number and password, and is accessible from the Find-It! Illinois site at: http://www.finditillinois.org/

The guest view is limited to resource discovery; and therefore, does not include access to the interlibrary loan capabilities.

2.     Authenticated Patron view – See page 3 of Administrative Set-Up Guide for SILC: A Guide for Experienced FirstSearch Administrators.

3.     Staff ILL view – Does require an OCLC ILL authorization number and password, and is accessible from the FirstSearch Login Screen.  http://firstsearch.oclc.org/

 

The OCLC ILL authorization number and password must first be stored in the FirstSearch Administrative Module http://firstsearch.oclc.org/crs/html/fsadmin/index.html to be recognized and usable in the FirstSearch Login Screen.  Only from the Staff view can ILL requests be made and managed.

 

Links to local LLSAP and stand-alone catalogs for shelf status are available in both the Guest and Staff ILL views; however, borrowing is enabled only in the Staff ILL view.

 

Again, two separate authorization numbers and passwords are needed:

1.     OCLC ILL authorization number and password

2.     FirstSearch Administrative authorization number and password.

 

To enable FirstSearch interlibrary loan capabilities in the Staff view, you will first need to enter your OCLC ILL authorization number and password in the FirstSearch Administrative Module.  You will need your FirstSearch Administrative authorization number and password (this is a different authorization number and password) to login to the FirstSearch Administrative Module.

 

If you don’t know your authorization number(s) and password(s), send an email with your name, library, and contact information to:  OCLC1@ilsos.net

 

All Illinois libraries that are full members of their Regional Library System are ILLINET libraries.  All ILLINET libraries have access to FirstSearch databases, including SILC, provided by the Illinois State Library at no charge.

 

OCLC interlibrary loan is enabled only for OCLC members.  Contact ILLINET/OCLC Services for more information about joining (see last page for contact information).


 

Setting up Staff ILL

Step 1: Login to the FirstSearch Administrative Module using your FirstSearch Administrative authorization number and passwordhttp://firstsearch.oclc.org/crs/html/fsadmin/index.html 

 

Enter your FirstSearch Administrative authorization number and password to set up ILL capabilities in SILC.

 
         

 

The Account Information screen displays:

Step 2:

At the Account Information tab, click on the Fulfillment tab to take you to the screen where you store your OCLC ILL authorization number(s) and password(s).

 

Step 3:

From the Fulfillment screen, click Staff ILL Settings.

 

 
 


                  

Step 4:  Enter OCLC ILL authorization number(s) and password(s) in the Authorization box and click Add

 


This authorization number is an example; you should enter your own number and password

 

 

 


Setting Up Access to Shelf Status in SILC

 

OCLC has set up links to your Regional Library System LLSAP Web Catalog, ILLINET Online, the LINC Catalog (DLS), and the CCS Catalog (NSLS).  If your holdings reside in a standalone Web OPAC, instead of an LLSAP, follow the instructions below to set up a link to your OPAC in the FirstSearch Administrative Module.

 

Shelf Status is set up in the FirstSearch Administrative Module.

 

 

Step 1:  From the Resource Linking tab, click Web Library Catalogs.

 

 

 

Step 2:  Enter the URL

that connects to your local OPAC. Add Catalog Entry text.

 
 


                                                         

 

 

The link from the WorldCat record to the local OPAC record for shelf status is made via the ISBN, ISSN, or OCLC Accession number.  The OCLC number is preferred, if your OPAC indexes it, since a single record match is guaranteed. 

 

Step 3:  Scroll down in Web Library Catalogs screen (above) to enter URL and test search text for ISBN, ISSN, and OCLC Number Search Results.

 
 


                                                         

 

 

 

 

 

 


Designing the ILL Staff Workform in SILC

 

ILL specifications are set up in the FirstSearch Administrative Module.

 

Step 1:

From the Fulfillment tab, click on Staff ILL Settings.

 

Then, click on the Constant Data tab.

 

 

The Constant Data screen allows you to add borrowing, patron, and lending information that will automatically transfer to your SILC ILL requests.  You can create a single constant data record, or as many as you need to facilitate a variety of types of requests.

 

Step 2:

Scroll down in the Constant Data screen to display and complete Borrowing Library Information fields.

 

Keep scrolling down to display and complete Patron Information fields.  Setting up Patron Information is optional.

Now you are ready to use FirstSearch SILC interlibrary loan!!!
